Using the Edcamp Sites Means You Accept These Policies
Overview on Collection and Sharing Information
Collection and Sharing of Personal Data:
“Personal Data” is any information that enables us to identify you, directly or indirectly, by reference to an identifier such as your name, identification number, location data, online identifier or one or more factors specific to your physical, physiological, genetic, mental, economic, cultural or social identity.
We may collect and process the following Personal Data when you interact with us. For example, this could be when you:
- Make a donation
- Join our mailing list
- Complete the Application Information for Edcamp In-A-Box
- Complete a survey
- Contact us through the website
- Apply for an Impact Grant
- Sign up to attend an event
With regard to each of your visits to the Edcamp Sites we will automatically collect the following information:
- Technical information
- Information about your visit
How We Use Your Personal Data:
We will only process your Personal Data, including sharing it with third parties, where (1) you have provided your consent which can be withdrawn at any time, (2) the processing is necessary for the performance of a contract to which you are a party, (3) we are required by law, (4) processing is required to protect your vital interests or those of another person, or (5) processing is necessary for the purposes of our legitimate commercial interests, except where such interests are overridden by your rights and interests.
The Edcamp Sites may contain forms, surveys and other interactive features that allow you to post, submit, publish, display or transmit to the Foundation or other users content or materials on or through the Edcamp Sites.
We may use your email address to send you Edcamp Sites-related notices (including any notices required by law, in lieu of communication by postal mail). We may also use your contact information to send you marketing messages. If you do not want to receive such messages, you may opt out by following the instructions in the message, or by contacting us at 1100 E. If you correspond with us by email, we may retain the content of your email messages, your email address and our responses.
The Foundation may collect records and copies of your correspondence with us (including email addresses) if you contact us.
Additionally, we will use Personal Data that you give to us:
- To present the Edcamp Sites and its contents in a suitable and effective manner for you and for your computer;
- To provide you with information, products or services that you request from us (that you may opt out of via instruction in email messages);
- To carry out our obligations and enforce our rights arising from any contracts entered into between you and us; and
- To notify you about changes to the Edcamp Sites or Services at our discretion.
- To respond to your requests for information, products or services that you request from us or respond to your questions;
- To organize events that you have registered for, and to provide you with information, and other materials, relating to the content of the event, the speakers, sponsors and other attendees;
- To provide our newsletter and publications, provided you have given your consent;
- To transfer your information as part of a merger or sale of the business;
- To ensure that content from our Site is presented most effectively for you and your computer.
We will use Personal Data that we collect about you to:
- To administer our Site and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
- To improve our Site to ensure that content is presented most effectively for you and your computer; and
- As part of our efforts to keep our Site safe and secure.
We will combine Personal Data we receive from other sources with information you give to us and information we collect about you. We will use this information and the combined Personal Data for the purposes set out above (depending on the types of information we receive).
When we share and who can access your personal data:
We may share your Personal Data for the purposes described in this Privacy Notice with:
- Google Analytics that assist us in the improvement and optimization of our Site;
- Trusted third-party companies* and individuals; and
- If the Foundation or substantially all of its assets are acquired by a third party, in which case Personal Data held by it will be one of the transferred assets.
* We will only transfer your Personal Data to trusted third-parties who provide sufficient guarantees in respect of the technical and organizational security measures governing the processing to be carried out and who can demonstrate a commitment to compliance with those measures.
Personal Data may also be disclosed to the Foundation’s employees, independent contractors and agents who need to know that information in order to operate, develop or improve the Edcamp Services. When Personal Data is provided in connection with a donation made to the Foundation through the Foundation Website, we will only use the information provided for purposes of processing, reporting, and documenting the donation. We do not store or retain your credit card information; we use PayPal to process your credit card information which is not permitted to store, retain, or use billing information except for the purpose of credit card processing on the Foundation’s behalf.
Selling your personal data:
We will not sell your Personal Data to third parties for their use without your consent. When Personal Data is submitted to us, we may add it to our database. We will only disclose Personal Data we collect from you to third parties without your permission to the extent necessary:
- To comply with the law or in response to a civil or criminal subpoena, court order, government request, or other legal process or request from law enforcement personnel;
- If we believe that it is reasonably necessary to comply with a law, regulation or legal request;
- To address fraud, security or technical issues;
- To protect the interests, rights, safety, or property of the Foundation or others;
- To enforce any terms of service on the Edcamp Sites;
- To provide you with the services or products requested by you and to perform other activities related to such services and products, including billing and collection;
- To operate the Foundation’ systems properly.
Transfer of personal data outside of the European Economic Area (“EEA”) and international users:
We will not transfer Personal Data, relating to individuals within the EEA, to third parties (i.e., those outside of our group), located outside of the EEA without ensuring adequate protection under European law.
Where a third party is located in a country not recognized by the EU Commission as ensuring an adequate level of protection, we will take appropriate steps, such as implementing standard contractual clauses recognized by the EU Commission, to safeguard your Personal Data.
We are headquartered in the United States. Your Personal Data may be accessed by us or transferred to us in the United States or to our affiliates, partners, merchants, or service providers who are located worldwide. If you are visiting our Site from outside the United States, be aware that your information may be transferred to, stored, and processed in the United States where our servers are located, and our central database is operated. By using our Service, you consent to any transfer of this information.
How long we store your personal data:
We will store your Personal Data, in a form which permits us to identify you, for no longer than is necessary for the purpose for which the Personal Data is processed. We may retain and use your Personal Data as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements and rights, or if it is not technically reasonably feasible to remove it. Consistent with these requirements, we will try to delete your Personal Data quickly upon request.
We will retain your information for as long as your account is active or as needed to provide you with our Site. Where we store your personal data:
Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal or sensitive information transmitted to us. Any transmission of personal or sensitive information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures we put in place for your protection.
We may store Personal Data in locations outside the direct control of the Foundation (for instance, on servers or databases co-located with hosting providers). The Personal Data that you provide to us is generally stored on servers located in the United States. If you are located in another jurisdiction, you should be aware that once your Personal Data is submitted through our Site, it will be transferred to our servers in the United States and that the United States currently does not have uniform data protection laws in place. In order to protect your Personal Data, the Foundation has put in place reasonable physical, electronic and managerial procedures to safeguard and secure your personal data. We use industry-leading Secure Socket Layer (SSL) technology to protect your Personal Data on our Foundation Website to protect against the loss, misuse and unauthorized alteration of the information under our control.
Collection and Sharing of Aggregate Data:
We collect information that is sent to us automatically by your web browser and we may use this information to generate aggregate statistics about visitors to our Site. Aggregate Data is information that does not personally identify you such as frequency of visits to the Site, page views, Edcamp Services most frequently accessed, referrer addresses, your browser type and version, or your operating system and platform (“Aggregate Data”). We use Aggregate Data to help us develop and improve the Services and Edcamp Sites overall.
You do not have to accept our cookies and can block them by activating the setting on your browser that allows you to refuse all or some cookies. You may also delete them after they have been placed on your hard drive. If you do not accept or delete our cookies, some areas of the Site that you access may take more time to work, or may not function properly.
A cookie may convey anonymous information about how you browse the Edcamp Sites to us, but it does not collect personal information about you. A persistent cookie remains on your computer after you close your browser so that it can be used by your browser on subsequent visits to the Edcamp Sites. Persistent cookies can be removed by following your web browser’s directions. A session cookie is temporary and disappears after you close your browser. You can reset your web browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of the Edcamp Sites may not function properly if the ability to accept cookies is disabled.

Do Not Track Requests; Third Party Tracking
We do not currently take actions to respond to Do Not Track signals sent by your web browser because a uniform technological standard has not yet been developed. We may adopt a standard once one is created. Third parties, other than our vendors (such as our website analytics provider), do not have authorization from us to track which websites you visited prior to and after visiting the Edcamp Sites. That said, we cannot control third party tracking and there may be some third party tracking that occurs without our knowledge or consent.
Sharing, Selling and Trading Aggregate Data Collected Online with Third Parties
We take the privacy of our users very seriously. We do not sell, rent or otherwise provide your Aggregate Data to third parties for marketing purposes.
Privacy of Children
The Foundation does not knowingly collect or solicit personal information from anyone under the age of thirteen (13) or knowingly allow such persons to register with the Edcamp Sites. If we become aware that we have collected personal information from a child under age of thirteen (13) without verified parental consent, we will delete that information from the Edcamp Sites.

California Civil Code Section § 1798.83 permits users of the Edcamp Sites that are California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes.
